Job Summary

Performs advanced clerical and administrative support functions for the Streets Maintenance Division. Serves as the division receptionist and provides assistance to staff and the public while managing records, correspondence, and departmental administrative processes.

Duties and Responsibilities

- Answer division telephones and respond to email correspondence in a timely manner.

- Serve as receptionist and assist the general public with questions related to the Streets Maintenance Division.

- Perform data entry, filing, and general clerical tasks.

- Set up, maintain, and organize division files and records.

- Perform recordkeeping functions, including electronic timekeeping.

- Process purchase orders and manage the division's credit card accounts.

- Generate work orders and track the division's maintenance activities using various software platforms.

- Maintain accurate division records and documentation.

- Ensure timely and accurate processing of administrative and financial transactions.

- Provide professional customer service to employees, contractors, and the public.

- Support the operational and administrative needs of the Streets Maintenance Division.

- Serve as administrative support during Emergency Operations Center activations as needed.

- Experience with advisory board secretary duties, including meeting minutes and agenda preparation.

- Performs related work as required.

Qualifications

Education

  • High school diploma or equivalent.


Experience

  • Candidates must possess a minimum of five (5) years of experience in a clerical or administrative role.
  • A comparable combination of training and experience may be substituted for the minimum qualifications.


Key Competencies

  • Ability to type accurately at a rate of 35–45 correct words per minute (CWPM).
  • Knowledge of business English, spelling, arithmetic, and general office practices and procedures.
  • Proficiency in Microsoft Word, Excel, and Outlook (Microsoft Office).
  • Ability to interact effectively and courteously with the public.


Physical Requirements

  • Sedentary position primarily performed in an indoor office environment.
  • Ability to see, read, handle, or feel objects or controls, and communicate effectively through talking and hearing.
  • The work environment is typically quiet.

Work Days/Hours : Monday – Thursday, 7:00 a.m. – 6:00 p.m.
